Technology continues to reshape the trucking industry, and MYSTC Software is helping carriers stay ahead with one of our most exciting new features yet — AI Quick Load Entry.

For dispatchers and office staff, entering load details manually can take valuable time out of the day. Every rate confirmation has critical information that must be entered accurately: pickup and delivery locations, appointment times, rates, miles, customer details, commodity information, and more. Even for experienced dispatchers, manual data entry can become repetitive and time-consuming.

That’s where the new AI Quick Load Entry feature changes the game.

With this powerful enhancement, users can simply upload or import a rate confirmation directly into MYSTC Software, and the system will automatically read the document and create the load for you. Instead of manually typing in every detail, the AI extracts the information from the rate confirmation and populates the load fields instantly.

This feature dramatically reduces data entry time while improving operational efficiency and accuracy.

Faster Dispatching, Less Manual Work

For many carriers, dispatch speed matters. Delays in entering loads can slow down driver communication, invoicing, and scheduling. AI Quick Load Entry helps dispatchers move faster by eliminating repetitive tasks and reducing the risk of missed or incorrect information.

Some of the biggest benefits include:

Reduced manual data entry

Faster load creation

Improved accuracy

Increased dispatcher productivity

Less administrative workload

Quicker communication with drivers

Instead of spending several minutes entering a single load, dispatchers can process loads in seconds and focus on higher-value tasks like customer service, planning, and operations management.

For growing fleets, this can make a major impact on daily efficiency.

Designed for Real Trucking Operations

MYSTC Software was built specifically for trucking companies, and this feature was designed with real dispatch workflows in mind. The AI technology recognizes common rate confirmation formats and pulls the information needed to create complete load records quickly and efficiently.

As more brokers and customers continue using digital confirmations, automation tools like this help carriers stay competitive while reducing office strain.

The result is a smoother workflow from booking to dispatch to invoicing.

The Driver App Advantage

In addition to the new AI Quick Load Entry feature, MYSTC Software continues to deliver powerful mobile tools through the MYSTC Driver App.

The driver app helps bridge communication between the office and drivers by keeping everything connected in real time. Drivers can receive load information instantly, update statuses, upload paperwork, and communicate directly through the app without relying on constant phone calls or text messages.

Key benefits of the MYSTC Driver App include:

Real-time load updates

Digital document uploads

Faster proof-of-delivery submissions

Improved dispatcher-driver communication

Reduced paperwork delays

Better organization for drivers on the road

By combining AI-powered dispatch automation with mobile driver connectivity, MYSTC Software helps carriers operate more efficiently from start to finish.

Helping Small Carriers Compete Smarter

At NASTC, we understand the challenges small trucking companies face every day. Administrative work, paperwork, and communication delays can slow operations and reduce profitability. MYSTC Software was created to give carriers practical tools that simplify operations and support long-term growth.

The addition of AI Quick Load Entry is another step toward smarter, faster trucking technology designed specifically for the needs of small and midsize fleets.

As the industry evolves, automation and real-time communication will continue becoming essential tools for successful carriers. MYSTC Software is committed to providing solutions that help members save time, improve efficiency, and stay competitive in today’s market.

The Federal Motor Carrier Safety Administration is taking a major step toward modernization with the rollout of its new MOTUS (Modernized Oversight & Tracking Unified System) platform. For small trucking companies, this isn’t just another system update—it represents a shift in how compliance, safety data, and regulatory oversight will be managed moving forward.

What Is MOTUS?

MOTUS is designed to replace and consolidate multiple legacy FMCSA systems into one unified, digital platform. The goal is to improve efficiency, transparency, and accessibility for both regulators and carriers.

Rather than navigating multiple portals and outdated systems, carriers will eventually interact with FMCSA through a more streamlined interface that centralizes key functions like:

Safety data tracking

Compliance monitoring

Carrier profiles and records

Communication with regulators

Why This Matters for Small Carriers

For large fleets with dedicated compliance teams, adapting to new systems is part of doing business. But for small trucking companies, changes like MOTUS can create uncertainty—and risk if not handled properly.

Here’s what’s at stake:

Increased Visibility
With improved data integration, FMCSA will have a clearer, more real-time view of carrier performance. Any compliance gaps may become more visible.

Faster Enforcement Actions
A modernized system can accelerate how quickly issues are identified and addressed.

Digital-First Compliance
Paper trails and outdated processes are being replaced. Carriers will need to stay organized and proactive in managing digital records.

The Opportunity Behind the Change

While change can be challenging, MOTUS also presents opportunities for carriers who are prepared:

Easier access to your own safety data

Better tools to monitor your compliance standing

More efficient communication with FMCSA

Carriers who stay ahead of these changes can actually gain a competitive advantage by running cleaner, more compliant operations.

How NASTC Helps You Stay Ahead

At NASTC (National Association of Small Trucking Companies), our mission is to help small carriers succeed in an increasingly complex industry.

As FMCSA systems evolve, the importance of strong compliance and operational discipline only increases.

We support our members with:

Compliance & Safety Programs – Including CSA review, monitoring, and guidance

NEST Training Program – Helping carriers understand regulations and best practices

Ongoing Support – So you’re never navigating changes like MOTUS alone

Operational Tools – From fuel savings to back-office support

Final Thoughts

The MOTUS platform is another sign that the trucking industry is moving toward a more data-driven, transparent future. For small carriers, success will depend on preparation, awareness, and having the right partners in place.

If you’re unsure how these changes may impact your business, now is the time to get ahead of it—not react after the fact.

Contact NASTC today to make sure your operation is ready for what’s next.

I’m excited to share something we’ve been working on behind the scenes for a while now.

MYSTC has officially added a Maintenance Module and it is a game changer.

If you’re running trucks, you already know maintenance is not optional. It is either scheduled and controlled or it becomes expensive and inconvenient. Our goal with this new module is simple. Help you stay ahead of problems, control costs, and keep your equipment moving.

And we built it specifically for small trucking companies.

Preventative and Scheduled Maintenance Your Way

With the new MYSTC Maintenance Module, you can now set preventative maintenance reminders and schedule maintenance by mileage or by time period.

You can track recurring services like PMs, oil changes, tires, inspections, and more.

No more sticky notes.
No more spreadsheets.
No more trying to remember when Unit 12 last had its DOT inspection.

The system sends reminders so nothing falls through the cracks. Staying proactive instead of reactive saves real money and protects your CSA scores.

Scan Bills, Store Documents, Let AI Do the Work

This is one of my favorite features.

You can now scan maintenance invoices and documents directly into MYSTC. The system uses AI to automatically populate the maintenance entry by pulling in details and organizing them for you.

That means digital records in one place, no lost paperwork, clean documentation for audits, and easier tracking of true cost per unit.

If you have ever scrambled to find service records during an audit or when selling a truck, you know how valuable this is.

Log Maintenance and Expenses with Full History

Every maintenance event and expense is logged and stored. Over time, you build a complete maintenance history for every unit in your fleet.

You can run maintenance history reports, expense summaries, and unit specific cost analysis.

Want to see which truck is costing you the most
Want to know your average maintenance spend per mile

Now you can.

This is not just record keeping. It is decision making power.

Your Own Service Provider Database

Another powerful feature is the ability to create and manage your own service provider database inside the system.

Add your preferred repair shops, tire vendors, dealers, and mobile mechanics. Keep their contact information, track history, and tie service events back to them.

Over time, you will know exactly who gives you the best service and pricing. That kind of data matters.

Fleet Wide Visibility on One Comprehensive Screen

We also built a comprehensive fleet view so you can see all units, maintenance status, upcoming services, availability, and a summary in one place.

At a glance, you know which trucks are road ready and which ones are due for service.

For companies growing from one or two trucks to ten, twenty, or more, this kind of visibility becomes critical. It helps you stay organized and scale properly.

It Is in Beta and We Want Your Feedback

Right now, the Maintenance Module is in beta.

That means you get early access and we get your feedback.

We want to know what you like, what could be improved, and what features you would love to see added.

MYSTC has always been built for NASTC members with direct input from the people actually running trucks every day. This is no different.

Your feedback helps us make it better.

Do Not Forget About the MYSTC Freight Exchange

While we are talking about MYSTC improvements, I also want to remind everyone about the MYSTC Freight Exchange.

This platform allows members to post available loads, share freight within the network, and connect directly with other NASTC carriers.

It is designed to keep freight inside the family with trusted carriers working with trusted carriers.

As we continue expanding MYSTC, the goal is simple. Give small trucking companies tools that level the playing field.

Between the Fuel Program, compliance support, factoring, the Freight Exchange, and now the new Maintenance Module, we are building a complete ecosystem to help you control costs, stay compliant, and grow strategically.

This Is Just the Beginning

We are not slowing down.

Technology should work for you, not create more work. The MYSTC Maintenance Module is another step toward giving small carriers the same operational tools that larger fleets have without the complexity or massive price tag.

If you are already using MYSTC, log in and check it out.

If you are not using MYSTC yet, this is a great time to start.

And if you are part of the beta, send us your feedback. We are listening.

Excited about where this is headed. Even more excited about what is coming next.

Let’s keep building.

If you run over-the-road (OTR), fuel taxes affect your business even if you don’t think about them every day. They show up quietly in your IFTA filings, and over time, they can make a real dent in your bottom line.

Let’s break this down in the simplest way possible.

What IFTA Really Does (In Plain English)

The International Fuel Tax Agreement makes sure every state gets its fair share of fuel tax based on where you drive, not just where you buy fuel.

That means:

Every mile you drive is tracked

Every gallon you burn is taxed

Each state charges its own fuel tax rate

When you file IFTA, those miles and gallons get matched up with that state’s tax rate.

Why High-Tax States Cost You More

Think of it like tolls—but invisible.

Some states charge low fuel tax per gallon

Other states charge very high fuel tax per gallon

If you drive 1,000 miles in:

a low-tax state → smaller tax bill

a high-tax state → larger tax bill

Even if fuel costs the same at the pump, your IFTA bill will be higher in states with higher fuel tax rates.

A Simple Example

Let’s say:

Your truck averages 6 MPG

You drive 600 miles in a state

You “use” 100 gallons in that state

Now compare two states:

Low-tax state: $0.30 per gallon → $30 owed

High-tax state: $0.80 per gallon → $80 owed

Same truck.
Same miles.
Very different IFTA result.

Why Knowing High-Tax States Helps You

Understanding which states have higher fuel taxes helps you:

Avoid Surprises at IFTA Time

High-tax states can turn a “normal” quarter into a big tax bill if you weren’t expecting it.

Budget More Accurately

If you know your lanes run heavy through high-tax states, you can:

Set aside more cash

Avoid scrambling when IFTA is due

Understand Why You Owe (or Get Refunded)

Many carriers think:

“I bought fuel cheap—why do I owe money?”

The answer is usually:

“You drove more miles in high-tax states than where you fueled.”

Run Smarter, Not Harder

You can’t avoid taxes—but you can understand them, which helps you:

Price loads correctly

Know your true cost per mile

Make better long-term routing decisions

The Big Takeaway

Fuel taxes don’t just live at the pump.
They follow you mile by mile, state by state, and show up every quarter through IFTA.

Knowing which states have higher fuel tax rates doesn’t mean you avoid them—but it keeps you informed, prepared, and profitable.

If you own or operate a heavy truck, chances are you’ve heard people talk about “2290s.” It sounds technical, but the idea behind it is actually very simple. Here, we’ll explain Form 2290, the Heavy Vehicle Use Tax (HVUT), and why every OTR trucking company needs to understand it—using plain language and trucking-friendly examples.

What Is a 2290?

A 2290 refers to IRS Form 2290, which is used to pay the Heavy Vehicle Use Tax (HVUT).

In simple terms a form 2290 is an annual road-use tax you pay to the federal government for operating heavy trucks on public highways.

The tax is collected by the Internal Revenue Service and helps fund:

Highway maintenance

Road repairs

Infrastructure used by commercial vehicles

Who has to file a 2290?

You must file a 2290 if:

You own (or register) a truck in your company’s name and

The truck has a taxable gross weight of 55,000 pounds or more

This applies to:

Owner-operators

Small fleets

OTR carriers

New authorities

If the truck is registered to your business, you are responsible, even if someone else drives it.

How Often Do you File a 2290?

Once per year, per truck. The 2290 tax year runs: July 1 through June 30 Most carriers file:

In July or August, or

The month the truck first hits the road (if purchased mid-year)

How Much is the 2290 Tax?

The amount depends on the truck’s gross weight. It starts at $100 per year and maxes out at $550 per year for the heaviest trucks. Heavier trucks = higher tax. Lighter (but still taxable) trucks = lower tax.

What Is a “Stamped Schedule 1”?

After you file Form 2290 and pay the tax, the IRS gives you a stamped Schedule 1.

This document is extremely important because it:

Proves the tax was paid

Is required to register or renew your truck tags

Is often requested during audits or compliance checks

No stamped Schedule 1 = no plates.

What if I buy a truck midyear?

Good news—you don’t pay a full year. The IRS calculates the correct amount automatically when you file. If you put a truck on the road after July:

You only pay for the months remaining in the tax year

This is called a partial-year (prorated) 2290

Common 2290 mistakes truckers make

Fuel programs do not file your 2290 for you. These mistakes cause delays, penalties, and headaches.

Forgetting to file entirely

Filing under the wrong EIN

Using the wrong gross weight

Losing the stamped Schedule 1

Assuming a fuel card or dispatcher “handles it”

Why 2290s Matter for OTR Trucking Companies

2290 compliance directly affects your ability to operate. It’s a small filing—but a big compliance requirement. If your 2290 isn’t filed:

You can’t renew your plates

You risk fines and penalties

You may trigger audits or registration delays

Your truck can be put out of service

2290 vs IFTA (Quick Clarification)

Truckers often confuse these two:

2290: Federal annual road-use tax based on truck weight

IFTA: Quarterly fuel tax reporting based on miles driven

Different forms. Different agencies. Both required.

Final Thoughts

Form 2290 isn’t complicated—but ignoring it is expensive. If you operate heavy trucks, filing your 2290:

Keeps your registration active

Keeps you compliant with federal law

Protects your authority and business

Think of it as your yearly “permission slip” to run heavy on U.S. highways. And it’s no coincidence.
NEST gives new carriers the education, strategy, and tools they need to navigate those early years with confidence.

What Makes NEST Different

NEST isn’t a webinar, a sales pitch, or a generic training. It’s a hands-on, two-day classroom experience taught at NASTC headquarters in Nashville, TN — led by industry professionals who understand the unique challenges small carriers face.

Here’s what’s covered:

DOT & FMCSA Compliance
We break down regulations into practical, real-world steps to help carriers avoid shutdowns, violations, and audit risk.

Financial and Cash Flow Strategy
We dive into the financial realities of trucking — from managing receivables and factoring to understanding true operating costs and avoiding common financial traps.

Insurance and Risk Management
Attendees learn how to manage insurance costs while maintaining the coverage required to stay on the road and grow responsibly.

Fuel Strategy
Fuel is one of your largest expenses. NEST provides insight into how professional fleets manage fuel purchasing — and how to avoid retail traps that eat away at profit.

Driver Hiring & Retention
From building a compliant hiring process to finding (and keeping) quality drivers, we help carriers develop systems to build a strong team from day one.

2026 NEST Class Schedule
All classes are held at NASTC Headquarters in Nashville, TN.

January 16–17

February 20–21

March 20–21

April 17–18

May 15–16

June 12–13

July 17–18

August 21–22

September 18–19

October – NASTC Annual Conference

November 13–14

December 11–12

Don’t Just Launch a Trucking Company — Build One That Lasts

The majority of new carriers won’t make it to year three — but you don’t have to be one of them.

Whether you’ve just activated your authority or are navigating your first year of operations, NEST (New Entrant Survival Training) is your opportunity to take control of your future, avoid common mistakes, and build a business that lasts.

Secure your spot in an upcoming class and let’s build your success story — together.

Cleaner Recordkeeping and Easier IFTA Reporting

Every fuel purchase made with a fuel card is logged with:

Truck number or driver ID

Location and time of purchase

Gallons purchased and transaction details

This level of detail streamlines:

IFTA and IRP reporting

Audit preparation

Expense reconciliation

Credit card statements and app-based receipts rarely offer the detail or consistency needed to support fleet-wide reporting — leading to more back-office headaches and higher risk during compliance reviews.

3. Better Cash Flow Management

Credit cards often come with:

Daily limits or high interest rates

Immediate payment expectations

Little flexibility if your business needs time to pay

Fleet-focused fuel cards are built for trucking operations. Many offer:

Weekly billing cycles

ACH draft schedules that work with your settlement timing

Dedicated credit lines for fuel purchases

This helps preserve your working capital and keeps your cash flow predictable — something generic cards and apps can’t do.

4. Professionalism and Operational Control

Using the right tools reflects how you run your business. Relying on consumer-focused apps or open credit card policies can signal a lack of control — not only to your staff, but to brokers, insurers, and auditors.

Fuel cards show that your operation is:

Organized

Scalable

Serious about oversight

They’re not just a way to pay — they’re part of a professional fleet management system.

Fuel Discounts Still Matter — But They Shouldn’t Compromise Security

While many choose app-based fuel programs chasing small discounts, those short-term savings can be outweighed by:

Lack of control

Higher risk of misuse

Limited network reliability

Fuel cards backed by trusted networks give fleets access to competitive pricing, reliable stations, and transparent billing — without sacrificing control.

Ready to Upgrade?

Start using tools that match the professionalism of your operation. A fuel card program is more than a payment method — it’s a smarter way to run your business.

Factoring can improve cash flow for trucking companies — but not all factoring contracts are created equal. Some agreements look helpful on the surface yet trap carriers in costly, restrictive terms that drain profits and limit flexibility. Before signing anything, it’s critical to understand the red flags that can put your business at risk.

Red Flag #1: Recourse vs. “Non-Recourse” Factoring
Many factoring companies advertise “non-recourse” programs, but the fine print often tells a different story. Some still make carriers financially responsible for unpaid invoices under certain conditions, like shipper disputes or customer insolvency. If the factor can charge back invoices, it’s not true non-recourse — and your risk hasn’t gone anywhere.

Red Flag #2: UCC Filings That Lock Up Your Receivables
A UCC lien gives the factoring company legal control over your receivables. This is standard in the industry — but it becomes a major problem when you want to switch providers. Some factors delay releasing their UCC filing or use it as leverage to keep you locked in. Make sure you understand how and when their lien can be removed.

Red Flag #3: Bundling Fuel Cards With Factoring
Some factors bundle fuel advances or fuel cards into their factoring contracts. It sounds convenient, but it can leave you stranded if there’s a dispute or delayed payment. When your fuel card depends on your factoring balance, one hiccup can shut down both cash flow and fuel access.

Red Flag #4: Hidden Fees That Erode Your Margins
Factoring costs aren’t just about the advertised rate. Watch for hidden charges buried in reserve accounts, reserve release delays, credit checks, minimum volume requirements, early payoff fees, and monthly maintenance fees. A low rate doesn’t matter if the contract is packed with add-ons that drain your settlement.

Red Flag #5: No Clear Exit Plan
Some factoring contracts require lengthy written notice — 60 to 120 days is common — and charge steep termination penalties if you want out early. If a factor makes it hard to leave, that’s a sign the relationship won’t be in your favor.

Protect Your Business With NASTC
Before you sign a factoring agreement, talk to NASTC. We help carriers and small fleets review contracts, spot hidden traps, and choose financing options that protect your cash flow, your receivables, and your independence. Your money should stay where it belongs — in your account, not in someone else’s contract fine print.
